Onboarding for staffing companies
New-hire paperwork, finished on the applicant’s phone.
Staffily replaces paper packets with forms applicants complete and e-sign in English or Spanish. Your branches review, countersign and approve in one place, with I-9 and E-Verify built in.
Unlimited staff users. No per-applicant fees.
The problem
Paper onboarding slows every branch down
Staffing companies onboard a lot of people, at a lot of branches, for a lot of client companies. Paper does not scale with that.
Paper packets
Clipboards in the lobby, forms filled in by hand, pages that go missing between the front desk and the file cabinet.
Chasing signatures
An applicant leaves with one form unsigned. Someone has to call, wait, and call again before the worker can start.
Typing it all twice
Names, addresses and work history written on paper, then keyed into another system by someone at the branch.
Compliance risk
A blank I-9 field or a missing record is hard to spot on paper, and it tends to surface at the worst time.
How it works
From link to approved, in four steps
- 1
The applicant registers
From your company’s own link, a branch link, or a kiosk in the branch lobby. On a phone, tablet or computer, in English or Spanish.
- 2
They complete and e-sign on their phone
A clear to-do list shows every form still owed. W-4, I-9, state and agency forms are filled in on screen and signed there.
- 3
Your branch reviews and approves
Staff complete the employer’s part of the I-9, countersign, and approve — or send the packet back with a note.
- 4
The records are kept
Every signature records who signed, when, from what IP address and on what device. Records are kept for as long as employment law requires.
For your staff
Built for the people who run the branch
Search in plain English
“Forklift drivers in Phoenix who speak Spanish.” Search covers every field applicants entered and the text of their uploaded documents.
Branch queues
Packets to review, signatures owed by the employer, checklists coming due and information requests, sorted by branch.
Your PDFs, made fillable
Upload a form you already use and place fields and signature boxes on it. Nothing to rebuild from scratch.
Packets that version safely
Group forms into packets per company. Publish a new version without disturbing packets already in progress.
One record per applicant
Documents, items needing review, staff notes and emails sent, on one page with tabs.
English and Spanish throughout
The whole applicant portal follows the language the applicant picks, not just the forms.
Security
Personal data, treated as seriously as it should be
Onboarding collects Social Security numbers and identity documents. The protections go well past a password.
Each agency’s data kept apart
Enforced by the application and, independently, by row-level security in the database.
Sensitive fields encrypted twice
SSNs, dates of birth and I-9 document numbers are also encrypted with SQL Server Always Encrypted.
Every upload scanned
Files are quarantined and scanned for malware before anyone can open them.
Logs that can’t be rewritten
Access and change logs are append-only ledger tables. Tampering is detectable.
Built for staffing
Set up the way your business is actually run
You place workers with more than one client company, across more than one branch. Staffily is organized around that, not around a single office.
- Each company is its own employer, with its own employer details, state tax IDs, branding and forms.
- Staff see the branches they cover, and nothing else.
- Applicants move between branches without applying again.
- E-Verify is tracked per company, with a warning where a branch requires it but its company cannot file yet.
Cost
Unlimited staff users. No per-applicant fees.
One predictable monthly price. Add recruiters and branch staff as you grow, and onboard as many applicants as you hire, without the bill climbing every time you do.
