What Staffily does

Features

One product for the applicant on their phone, the staff at the branch, and the administrators who set it all up. Compliance is built into each of them.

For applicants

Paperwork they can finish on their own phone

Applicants do not need a computer, a printer or a password. They need the link, and a few minutes.

  • Register from a link or a kiosk

Your company’s own link, a branch link, or a kiosk in the branch lobby. Works on a phone, tablet or computer.

  • English or Spanish

The whole portal follows the language the applicant chooses, not only the forms.

  • No passwords to forget

Applicants sign in with a personal PIN, or a one-time code sent by email or text.

  • A clear to-do list

Every form still owed is on a To-do list. Completed forms move to a Finished list.

  • Forms filled and signed on screen

W-4, I-9, state and agency forms. The time and device are recorded for every signature.

  • Documents from the camera

Upload identity documents and licenses, or take a photo with the device camera.

  • Entered once, reused

Work history and skills are entered once and reused, not typed again on every form.

  • In touch with the branch

Applicants can message the branch from the portal, see their own activity history, and request a copy of their information.

  • Your brand, not ours

Applicants see each company’s own name, logo and colors.

For branch staff

Everything the branch needs to review and approve

Recruiters and branch managers work from queues and records rather than file folders and inboxes.

  • Search in plain English

Type “Forklift drivers in Phoenix who speak Spanish.” Search covers every field applicants entered and the text of uploaded documents, read by OCR. Save searches you run often.

  • One page per applicant

Tabs for documents, items needing review, staff notes and emails sent.

  • Branch queues

Packets to review, signatures owed by the employer, checklists coming due, and information requests.

  • Review and countersign

Complete the employer’s part of the I-9, countersign, and approve — or send the packet back with a note.

  • Packets of forms

Packets are set up per company and assigned to applicants. Publish a new version without disturbing packets already in progress.

  • Form designer

Upload an existing PDF and place fields and signature boxes on it. No rebuilding forms from scratch.

  • Branch transfers

Move an applicant to another branch without them applying again.

  • Notes and email

Staff notes are kept off the applicant’s view. Email applicants from inside the product, with a record of what was sent.

  • Applicant lists your way

Sort, filter, and choose which columns to show.

For administrators

Set it up once, for every company and branch

Administrators decide how each company and branch works, and who can see what.

  • Companies and branches

Employer details, state tax IDs, branding and addresses for each.

  • Staff and roles

Each staff member’s access is limited to the branches they cover.

  • Configure registration

Registration fields, skills, attachment types, consent wording, the greeting and privacy settings.

  • Notifications

Configure the notifications the product sends.

  • Search insights

See what staff searched for and could not find.

Compliance

The rules are built in, not bolted on

Onboarding is where employment-eligibility mistakes start. Staffily holds the rules so your branches do not have to remember them.

  • Form I-9, both sections

Section 1 is completed by the applicant and Section 2 by the employer, with federal document rules enforced. The applicant chooses which acceptable documents to present. Staffily never requires a particular document.

  • E-Verify enrollment tracking

Tracks which client companies are enrolled in E-Verify, and warns where a branch requires E-Verify but its company cannot file yet.

  • Background checks

Order background checks through your own Asurint or Checkr account and track them on one page.

  • Signatures with evidence

Every e-signature records the signer, the time, the IP address and the device.

  • Records kept as required

Records are kept for the period employment law requires. Applicants cannot erase records the agency must keep.

  • Change log and access log

A change log, and a separate access log of which staff member viewed which applicant’s personal information.

  • Consent on record

Consent is recorded with the time and the applicant’s typed signature.
